ABOUT THE CHESAPEAKE ARTS CENTER:
The Chesapeake Arts Center (CAC) is a 58,000 sq. ft. multi-discipline arts facility located in Northern Anne Arundel County, just inside the Baltimore beltway. Our facility houses a 752-seat Hammonds Lane Theatre, a 120-seat Studio 194 Theatre, The Hal Gomer Gallery, a large ceramic lab, two dance studios, multiple music rooms, traditional art classrooms, and maker space.

The Administrative Assistant provides administrative support and works closely with the Executive Director and Education Director in regards to general organizational tasks at Chesapeake Arts Center. This position is dual in assisting the daily functions of the both departments.
Executive Director tasks: Administrative support for Executive Director’s calendar, prepare for board meetings, thank you letters to donors, oversee membership, etc. and other special projects, and or job duties assigned by the Executive Director.
Education Director tasks: Candidate will manage the customized student registration database, working closely with the Education Director to assist with enrollment of classes, manage confidential student scholarship information, and track student tuition payments. Must have strong customer service skills to assist students and parents.
Reporting to: Executive Director and Education Director
Oversee aspects of a customized database, which includes timely and accurate data entry, updating records, organizing/coding, retrieving reports from the system, while maintaining an overall understanding of database.
Maintain data correctness by routinely checking information for errors and duplicate files, while maintaining an organized system of information.
Handle all student membership, class registrations, and scholarship recipients.
Generate and send monthly renewal mailings and communications.
Track memberships relating to Education and donation statistics on a monthly and annual basis.
File hard copies and digital copies of registration records, financial records and other educational documents.
Assist the Executive Director with administrative tasks and special projects as needed.
Attend events as needed.
Assist with educational event planning, such as recitals, career day, communications, volunteer coordination.
Additional duties as assigned; this may include processing class evaluations, taking supply inventory, answering phones, assisting in selling show tickets, etc.
QUALIFICATIONS, ATTRIBUTES AND SKILLS:
Bachelor’s Degree preferred
Experience working in a nonprofit organization preferred.
Excellent written and oral communication skills required.
Ability to create and adhere to schedules and deadlines required.
Strong interpersonal and time management skills; attention to detail is extremely important.
Ability to work in a highly collaborative environment, supporting shared ideas and goals.
Experience and comfort working on computers required (experience with Windows, Microsoft Office, database software, social media and different internet browsers).
Willingness to work some nights and weekends for events as required.
Flexibility to support staff and projects as needed for a small to mid-sized organization.
An interest in Chesapeake Art Center’s mission.
HOURS, SALARY AND BENEFITS: The Administrative Assistant position is a 25 hour a week position with the potential to grow into a full time salaried position with healthcare benefits within the next 12 months. Hours are 1:00 pm to 6:00 pm. Monday-Friday, and every other Saturday from 9:30 to 12:30.
